The Division of Graduate Education and Postdoctoral Affairs (GEPA) is the central resource for all matters related to graduate education at UC San Diego. Our team is there at every step in a graduate student’s career, helping students navigate their path from admission to graduation and beyond. Working behind-the-scenes and in collaboration with faculty, staff and students, the division guides today’s scholars on their upward trajectory to becoming tomorrow’s leaders.

Division of Graduate Education and Postdoctoral Affairs Strategic Objectives:

1) Graduate Excellence: Grow the graduate programs and develop new curricula while recruiting outstanding, diverse students, enhancing our stature and serving the needs of students and society.

2) Graduate Student Experience: Deliver an outstanding graduate student experience by providing enhanced student support services, mentorship, career development, internships, and social events by promoting interdisciplinary scholarship and community building.

3) Financial Sustainability and Stewardship: Foster fellowships, training grants, philanthropy, and develop revenue generating educational programs that enhance our stature and promote our campus mission. Continue to develop agile and streamlined administrative processes that provide outstanding support to academic departments and programs.

4) Monitor Progress: Collect data to assess progress towards the above goals, and provide rapid feedback to individual departments and programs regarding admissions, mentoring, and more.

5) Communicate our Impact: Engage in a variety of outreach events to enhance opportunities and visibility for our graduate students and programs.

Under the direction of the Director of Graduate Admissions, assists in processing applications for graduate admissions. Responds to telephone, in-person, email, and mail inquiries regarding UC San Diego graduate applications, programs, admissions, application status, and application fees/fee waivers. Responsible for maintaining electronic admitted applicant files for evaluator review. Posts and verifies data into Integrated Student Information Systems (ISIS) and the graduate application management system. Collaborates with graduate admission and Information Systems (IS) unit staff in the ongoing update and development of the graduate admissions application. Provides administrative and clerical assistance, and general office support for activities associated with the Graduate Student Affairs unit. Assists in the advising of undergraduate student participants in the various Student Affairs graduate preparation programs.

Overtime may be required.

  • Experience working as a receptionist, including experience writing emails to customers, using correct English, grammar and punctuation, in response to inquiries.

  • Intermediate computer skills with experience in the use of email, online environments, web-based applications, databases, spreadsheets and word processing applications.

  • Proven experience in the correct use of English grammar, punctuation, formatting and spelling.

  • Excellent interpersonal, communication, and listening skills to effectively interact with faculty, staff, students and the general public.

  • Demonstrated ability to disseminate campus resource information accurately, clearly, and concisely in a group or individual setting.

  • Strong organizational skills, including the ability to prioritize work, meet deadlines, and work with frequent interruptions.

  • Ability to research, collect data, verify accuracy, compile and format results.

  • Basic mathematical skills sufficient to make calculations.

PREFERED:

  • General knowledge of a university environment including academic departments, programs and activities.

  • Experience in the use of various UCSD online systems.

  • Experience in handling, processing, and reviewing academic transcripts.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

  • Duties may require direct contact and/or supervision of children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form will be required.

Pay Transparency Act

Annual Full Pay Range: $33,900 - $70,052 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $16.24 - $33.55

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
