  • DEPARTMENT OVERVIEW

The Division of Extended Studies (DES) at UC San Diego is fully self-supporting, operating year-round (12 months of active instruction) with a budget of $47 million annually in primarily fee income. The unit has over 200 career employees, including academic, management, staff and executive, as well as represented and non-represented positions. Many casual or contract employees and student workers also serve in the organization. In addition, DES employs more than 1,000 active by-agreement instructors.

DES operates in 200,000 square feet of managed space, including a large off-campus classroom facility. The unit maintains a robust online learning platform, operating 24/7 with webcasting and video-conferencing capability. DES also has a strong web presence with e-commerce operating 24/7. There are over 60,000 enrollment transactions annually; 35,000 outreach certification transactions and 25,000 service transactions. DES supports a robust network of representatives, agents, and students (both residential and online) around the globe. Along with all of this, DES operates two television stations, a variety of public lecture programs and is active in federal, state, local, and private research and technical assistance programs and activities.

As of Fall 2020, the University has assumed ownership of a major downtown center for which DES is taking full financial and programming responsibility. The 66,000-square-foot building will support a rich mix of campus-based and community programs reflecting the teaching, research and public service mission of UC San Diego: classroom instruction, continuing education, arts and cultural performances, civic events and collaborative community projects.

  • POSITION OVERVIEW

Under the direction of UC San Diego Division of Extended Studies (DES) Student Affairs Manager, the Student Services Advisor (SSA) applies professional Student Services concepts, provides varied services to students and DES departments, and works on moderately complex issues. The SSA may receive or seek assistance for more complex issues.

The SSA is dedicated to meaningful personalized service for students, including those receiving regulated funding such as private student loans, Worker's Compensation, Veteran's Benefits, Workforce, Innovation, and Opportunity Act (WIOA), and Employment Development Department (EDD). The SAA serves as a main point-of-contact for students and academic departments for advising and guidance on UC San Diego Extended Studies courses, programs, academic integrity, student conduct, and student services. Actively interacts with program managers to stay abreast of program changes, and to communicate frequently expressed student questions or concerns. Participates as an integral member of a team by assisting in high priority projects and general service operations, and by contributing ideas and input on methods to improve services. Rotates in other administrative, program, or service functions to learn procedures, and to provide professional assistance.

  • Knowledge of advising and counseling techniques. Professional training or experience in educational counseling, student affairs or a related discipline. This includes counseling individuals from a wide variety of nationalities and cultures. Demonstrated experience with mediation, particularly in active listening, problem identification, and conflict resolution. Ability to assess and interpret individual circ*mstances to make appropriate decisions.

  • Knowledge and understanding of higher education, student affairs, and student services principles and practices. Experience advising on student services topics including admissions, registration, financial assistance, academic records, and government regulations.

  • Experience working with students receiving regulated funding and demonstrated knowledge of related processes and requirements.

  • Multicultural competencies; ability to work with diverse populations. Demonstrated ability to relate effectively and sensitively to diverse, multicultural populations, students, staff, faculty, employers, etc. Also, an ability to understand and relate effectively to academically accelerated, ambitious students.

  • Ability to multi-task; verbal and written communication skills. Excellent written communication skills for general correspondence and publications such as detailed information materials, handbooks, and newsletter articles. Excellent attention to detail. Accuracy in all work.

  • Demonstrated experience working with confidential student information under the guidelines of regulations such as Family Educational Rights and Privacy Act of 1974 (FERPA) and demonstrated knowledge of the Americans with Disabilities Act (ADA).

  • Ability to interpret and communicate policy and procedural issues to students, families, and staff. Demonstrated experience advising on issues related to student conduct, student petitions and grievances, and academic policies.

  • Proven experience working productively and cooperatively as an effective team member in a high volume operation, using initiative and sound judgment, and following through to completion of duties and fulfillment of areas of responsibility.

  • Demonstrated record management experience. Proven skill in establishing and maintaining accurate, organized records, files and filing system while adhering to records retention regulations.

  • Interpersonal skills. Strong communication skills and the ability to work effectively with a wide range of constituencies.

  • Skills in service orientation, organization, active listening, and critical thinking.

  • Ability in problem identification and reasoning.

  • Background check is required for this position.

  • Duties may require direct contact with children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form will be required.

  • Overtime may be required during peak enrollment periods.

  • No vacation time will be approved during peak periods each quarter.

  • Shift may vary depending on business need and may fluctuate throughout quarter. Must be willing to work altered work schedule anytime between the hours of 7am to 6:30pm.

  • Must be willing to work at either of the Division of Extended Studies' (DES) locations: UCSD Campus and University City Center.

  • Incumbent must have reliable transportation and if driving a valid California Driver's License and insurance.

  • Must be willing to attend DES open house events and other functions as needed.

  • Must be willing to work 1 to 3 Saturdays per month.

Pay Transparency Act

Annual Full Pay Range: $52,100 - $87,900 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $24.95 - $42.10

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
